Background screening in Malaysia, done lawfully

A background check in Malaysia should tell you whether a person is who they say they are, and whether anything in their history matters for your decision. Our background screening uses consented checks, public records and verification with the original sources — never shortcuts that break the Personal Data Protection Act 2010.

Employment background check and pre-employment screening

Our employment background check confirms identity, education and professional qualifications, previous employers and job titles, and searches court and bankruptcy records. Pre-employment screening is carried out with the candidate's written consent, so the result can be used fairly in your hiring decision.

Existing staff

Before a promotion into finance, procurement or management, employee background verification checks that what was declared years ago is still true — and flags conflicts of interest such as undisclosed directorships.

Business partners

Before you invest or sign a joint venture, a business partner background check looks at the person's companies, past ventures that failed, litigation, bankruptcy and reputation. See also our corporate due diligence service for larger deals.

Directors and suppliers

A director background check reviews SSM directorships, struck-off companies, court cases and adverse media. A supplier background check confirms that a vendor really exists, has the capacity it claims and is not linked to your own staff.

Tenant screening

Landlords use a tenant background check to confirm identity and employment, look for eviction and court records, and spot fake documents before handing over keys.

Someone you met online

Met someone on a dating app or social media? An online dating background check quietly confirms that the person is real, that their name, job and marital status match what they told you, and that there are no court cases or scam reports linked to them — before you share money, documents or your family's details.

Credit check (with consent)

A credit check through CTOS or CCRIS shows loans, repayment history and legal actions. In Malaysia it needs the person's own consent, so we arrange it as part of a consented pre-employment or tenancy check — never behind someone's back.

Civil litigation and bankruptcy records

We search civil litigation, winding-up and bankruptcy records, which often reveal unpaid debts, disputes with former employers or partners, and business failures that were not mentioned.

Social media check

A social media check reviews what a person has published publicly — conduct, affiliations and claims that contradict their CV — within the law and the PDPA 2010.

What is pre-employment screening?

Pre-employment screening is the set of checks done on a shortlisted candidate before the offer becomes final: identity, education and qualifications, previous employment and references, and court and bankruptcy records, with the candidate's written consent. It is the most common form of background screening in Malaysia for finance, sales, IT, security and management roles.

What is an employee background check?

An employee background check is a structured verification of what a candidate or staff member has told you: who they are, what they studied, where they worked and in what role, and whether public records show anything relevant to the job. Done properly, it treats every candidate the same way, is based on consent, and only looks at what matters for the role.

Why do employers conduct background checks?

Employers conduct background checks because a wrong hire is expensive: fake degrees, inflated job titles, hidden dismissals for fraud, and undeclared conflicts of interest are found far more often than most people expect. Checks are especially important for finance, procurement, IT access, security, childcare, healthcare and senior management roles. For each role we suggest a level of checks — so you do not pay for checks you do not need.

Identity verification services

Our identity verification services confirm that names, IC numbers, passports, company documents and certificates are genuine and belong to the person presenting them — useful for employers, landlords, lenders and anyone dealing with someone they met online.

How to do a background check in Malaysia

If you want to start yourself: search the person's full name with words like fraud, court or scam in English, Malay and Chinese; check any company they mention on SSM e-Search; call previous employers and schools on numbers you find yourself; and ask for original certificates. For decisions that matter — a senior hire, a tenant, a business partner — a professional background verification in Malaysia goes further, with consent where the law requires it, and gives you a written result.

What these checks cannot include

Police criminal records are confidential in Malaysia and are not available to private investigators. CTOS or CCRIS credit reports need the person's own consent. We tell you clearly which checks are possible for your situation and what each one can and cannot show.

The process

How it works

Scope the check

We agree exactly what must be verified and, where required, obtain the person's written consent.

Records & verification

Identity, company, insolvency and litigation searches; we contact employers and institutions directly.

Discreet enquiries

Where needed, careful field enquiries confirm addresses and lifestyle claims.

Written report

Findings are reported clearly, separating verified facts from information we could not confirm.

The law and the limits

Some records in Malaysia are confidential by law — for example police records and bank account details — and we never obtain them unlawfully. Credit reports such as CTOS or CCRIS need the person's consent. All personal data is handled under the Personal Data Protection Act 2010.

Questions

Background Checks — FAQ

How long does a background check take?

A standard check usually takes a few working days. Overseas qualifications or many employers can take longer; we tell you the timeline before we start.

Do I need the candidate's consent?

For employment screening you should obtain written consent, and some checks (such as credit reports) require it by law. We provide a consent form.

Can you check someone's criminal record?

Police records are not public. We can search court records, litigation, bankruptcy and adverse media, which often reveal what matters.
